Apex Systems is currently hiring for a Front Desk Receptionist with one of our amazing Non Profit clients in Redwood City, CA.

Location: Redwood City, CA

Onsite expectation: Fully Onsite

Pay range: 23/hr – 27/hr

Job Summary

As the Receptionist, you will be the first point of contact for guests, employees, and partners, creating a welcoming and professional environment across our front desks and community space. This role combines guest services, operational support, and administrative responsibilities to ensure smooth daily operations and an exceptional visitor experience. You will be part of a collaborative reception team, supporting multiple locations and floating between offices as needed.

Key Responsibilities

Employee & Guest Experience & Reception

  • Greet and acknowledge all employees & guests warmly, ensuring a positive and lasting impression.
  • Check in guests, issue visitor/temporary badges, and offer lobby amenities.
  • Support office tours.
  • Direct visitors, vendors, and service providers to the appropriate contacts.
  • Maintain the appearance, cleanliness, and security of lobbies and community spaces.
  • Provide transportation and local information support.
  • Resolve employee & guest issues and feedback with professionalism and care.

Operational & Administrative Support

  • Perform routine administrative duties using G Suite, Slack, Envoy, and ticketing systems (Jira/Help Center).
  • Assign, track, and fulfill workplace requests through the Help Center.
  • Order, track, and organize supplies (office, catering, furniture, linens) for reception, copy areas, and community space.
  • Support shipping and receiving, mail distribution, and lost-and-found logging.
  • Report and track damages, facility issues, and AV/technology concerns.
  • Order business cards, manage internal requests, and provide general office support.
  • Complete daily opening/closing walkthroughs of assigned spaces.

Event & Community Space Support

  • Provide on-site support during meetings, events, and programs.
  • Assist with setup, breakdown, and general clean-up of furniture and supplies.
  • Act as a liaison with the Community Space Program Manager, Events Team, and Facilities.
  • Act as a point of contact for deliveries, vendors, and services.
  • Provide ad-hoc project and event support, including coverage for other site locations.

Team & Multi-Site Coverage

  • Work as part of a coordinated reception team, collaborating to deliver consistent, high-quality service across all sites.
  • Float between offices as needed to provide coverage and support during events, staffing gaps, or peak activity.
  • Maintain flexibility to adapt to different team dynamics, spaces, and operational needs across multiple locations.

Compliance & Confidentiality

  • Uphold all company and site policies and procedures.
  • Maintain confidentiality and protect sensitive information.
  • Deliver and reinforce new policies or procedures when required.

Qualifications

  • High school diploma or equivalent required; 2+ years of college coursework preferred.
  • 2+ years of experience in a customer-facing role (reception, hospitality, or customer service).
  • Excellent communication, interpersonal, and organizational skills.
  • Strong problem-solving ability and adaptability to changing priorities.
  • Responsible, dependable, and professional with sound judgment and respect for confidentiality.
  • Tech-proficient; comfortable with G Suite, Slack, Jira, Envoy, and learning new tools.
  • Ability to work independently and as part of a team in a fast-paced, dynamic environment.
  • Must be able to lift and carry up to 50 pounds regularly.
  • Nice to have: knowledge of San Mateo County’s nonprofit, government, and organizational landscape.
  • Nice to have: experience with access control and basic security operations.
  • Exposure to science or research organizations is a plus.
